All prices exclude VAT. Monthly fees start when your system goes live, with a 12-month minimum term. Charities and churches get 10% off the monthly fee. Your exact price is fixed in your written proposal.

When do we start paying?
£200 when you sign your proposal. The monthly fee starts when your system goes live, so you don’t pay it while we’re building. Custom projects are quoted separately, with the setup paid in stages.
Who owns the code and the data?
Your data is always yours, and you can export it whenever you like, in standard formats. The software itself is licensed to you for as long as you’re a client, and we look after it, host it and keep it up to date.
What happens if Thapsus closes?
We hand over the code, documentation and everything needed to keep your system running, so another developer can take it on. Your data stays yours throughout, and the handover terms are set out in your contract.
What if something breaks?
Tell us and we’ll fix it. Small issues are handled during normal working hours, and emergencies are covered 24/7. Support is included in your monthly fee, and you’ll talk to the people who built your system.
Can we cancel?
Yes. Plans have a 12-month minimum term from the day your system goes live, then continue month to month. Your contract sets out the notice period, and we’ll give you a full export of your data in standard formats.
How long does a build take?
Development and testing usually take about a month from a signed proposal. Your proposal includes the timeline for your system.
Is my data secure and GDPR-compliant?
Yes. Your system is hosted in the UK, backed up daily and kept up to date with security patches. We process your data on your behalf under UK GDPR, with a data processing agreement as part of your contract.
What if we need more users?
Each plan covers a set number of people. If your team grows past it, you move up to the next plan, and above 30 people we’ll quote a custom plan. You never pay per seat.
Who counts as a user?
Anyone on your team who logs in. Customers, members and volunteers who use a portal, booking page or check-in don’t count, within fair use.
What counts as a tool?
One part of your system, such as a CRM, booking or job management. Each tool is £39 a month on top of your plan. Reports, dashboards and forms inside a tool don’t count as extra tools.
What if we want more changes than the plan includes?
Fixing anything that isn’t working as agreed is always free. Every plan also includes 30 minutes of improvements a month for each tool you have. For bigger changes, we’ll give you a fixed quote before any work starts.
Do you work outside Greater Manchester?
Yes, with businesses across the UK. Most of our work happens online, and we’re happy to visit when it helps.
